Statement of Responsibility
Persons using the Group Study Room must agree:
Individuals or groups who do not comply with the advertised policies, procedures and restrictions, or engage in activity that results in damage to the facility may be denied further use of the facility and be charged for repairs.
As Group Leader, I have read the above and fully understand its terms and my obligations. By accepting this booking, I agree that I have the responsibility to ensure that my group members comply with the above.
- The Group Study Room is for the use of the students of the Trinity School of Medicine.
- A minimum group of 2 persons is required to reserve a room.
- The Study Room is available for use on a first-come, first-serve basis. Prior reservations are necessary.
- Groups may reserve rooms in 1 hour increments up to a maximum of 2 hours per day.
- The person signing the request to use the room is designated as the Group Leader.
- The Group Leader is responsible for maintaining the security of the room during its use, and for seeing that the group members comply with the Group Study Room policies, procedures and restrictions.
- Groups may have one or two reservations on file at a time.
- Rooms not utilized within 15 minutes of the scheduled reservation start-time are considered vacant, and will be available to others on a first-come, first-serve basis.
- Patrons are expected to behave in a manner consistent with TSOM's Student Code of Conduct and the relevant prevailing Library policies. Anyone engaged in unpermitted or in appropriate activities may be asked to vacate the room, and may be denied further use.
Procedures
- Reservations should be made online through the TSOM Library web site. E-mail or telephone bookings will not be accepted.
- Go to library.trinityschoolofmedicine.org. Next, proceed to Services/Group Study Room. Follow the link provided and make your booking. A system generated confirmation e-mail will be sent to the person requesting the use of the room or Group Leader. This e-mail outlines a Statement of Responsibility.
- Acceptance of the booking implies that the Group Leader has read the Statement of Responsibility, fully understands its terms and obligations, and agrees to ensure that the group members comply with the content.
- The Group Leader is responsible for maintaining the security of the room during its use.
- At the end of the session, the Group Leader must ensure that the room is left in good condition, and that all persons in the group exit on time.
- If a group’s plans to use the Group Study Room change, the Group Leader must cancel the booking before the start of the session, reschedule, OR alert the library staff that the booking cannot be utilized.
- Questions regarding the use of the Group Study Room,should be directed to library staff.
Restrictions and Exemptions
- Food items and the eating of same are not allowed in the Group Study Room. Non-alcoholic beverages in covered containers are allowed, but must be kept away from all electronic equipment. Please refer to the Library Food and Drink Policy in the Library Policy Manual on this web site.
- While this room is designed for group study activities, it is necessary that occupants maintain a suitably quiet environment for individual Library patrons to study.
- Requests for policy exemptions or modifications should be referred to the Chief Librarian.
Statement of Responsibility
Persons using the Group Study Room must agree:
- that the person making the booking is the designated Group Leader;
- to keep the Group Study Room doors closed in order to keep the volume of conversations or presentations confined to the room;
- not to handle or deface any items exhibited on the walls;
- to indicate to the Library staff when the reservation period has been aborted;
- to exit the Group Study Room on time;
- to turn off the lights, the Internet Access switch, and the AC Unit;
- ensure that the outside exit door is locked securely.
